Thank you for registering for this Health Information and Management Systems (“HIMSS”) program (“Event”). The following Terms and Conditions (“Terms and Conditions” or “Terms”) apply to you and your participation in the Event. By registering for the Event, you agree to these Terms, so please read them carefully. Failure to comply with any of the Terms may result in registration cancellation without refund. HIMSS reserves the right to expel anyone from the event who does not comply with any of the policies, in HIMSS’s sole discretion.

Registration Rates

The Early Bird registration rate only applies to registrations with payment received by Monday, October 24, 2022 – 11:59 PM ET. Registrations made after this date will be charged the Advanced or Standard registration rate. Confirmations will be sent via email. If you do not receive a confirmation email within 24 hours of submitting your registration, please notify us at HIMSSregistration@himss.org.

Badge Rules

Bring your government identification to the Event. Each registrant will be issued a badge onsite and is required to wear it at all times during the Event and any related organized functions. Exchanging badges with any other person is strictly prohibited. Anyone discovered wearing a badge that does not match their identification will be ejected from the Event without a refund at the discretion of the Event organizers.

HIMSS Badge Scanning

HIMSS uses badge scanning for In-Person attendance. HIMSS does so to share your registration Contact Information as described below, as well as to determine session attendance, deliver session surveys, manage session capacity, and enforce session restrictions.  The scanning of your badge is your consent to having your registration Contact Information and other identifying information you provided to HIMSS shared with Event producers, exhibitors, sponsors, partners and within the HIMSS organization. Please be aware that exhibitor and sponsor scanning of attendee badges is optional, and you may refuse to have your badge scanned at booths as well as at the entrance to exhibitor sessions and functions without penalty; you acknowledge that if you do not permit sharing of your Contact Information in this context, you may not be able to attend certain sessions or functions.

Code of Conduct

Our Event is dedicated to providing a harassment-free Event experience for everyone, regardless of gender, gender identity and expression, age, sexual orientation, disability, physical appearance, body size, race, ethnicity, religion (or lack thereof), or technology choices. We do not tolerate harassment of Event participants in any form. Sexual language and imagery is not appropriate for any Event venue, including talks, workshops, parties, Twitter and other online media. Event participants violating these rules may be sanctioned or expelled from the Event without a refund at the sole discretion of the Event organizers.

Cancellation Policy

Registration cancellations must be submitted in writing via email to: HIMSSregistration@himss.org. Registration cancellations by telephone are not accepted. Canceled registrations received 4 weeks before the Event is scheduled to start (Monday, November 7, 2022 – 11:59 PM ET) will be refunded, less a $50 administrative fee. Canceled registrations received after this date are not refundable. Refunds will be processed within 30 days of receiving the cancellation notice. Reinstatement of registration is not permitted after cancellation has been processed by HIMSS. Unfortunately, no exceptions to this policy can be accommodated.

HIMSS Cancellation or Modification

HIMSS reserves the right to cancel or reschedule any programming or the Event for any reason, and/or close registration when programs are sold out or, and/or make changes based on an occurrence outside the control of HIMSS prevents a program from being presented, with all such decisions to cancel, modify or reschedule the Event being at HIMSS’s sole discretion. HIMSS is not responsible for any expenses or costs registrants may incur in planning to attend the Event. Registrants who purchase non-refundable transportation and/or lodging do so at their own risk. If HIMSS cancels the Event, HIMSS will automatically apply any pre-paid portion of your registration fee toward registration for the next HIMSS event located in the United States and occurring within twelve (12) months of the date of the Event, excluding the HIMSS Global Health Conference & Exhibition. Such application of your registration fee to a subsequent event shall be your sole remedy in the event of cancellation or rescheduling of the Event.

Attendee Substitutions:

Please email your request, along with a completed registration form for the substitute attendee, to HIMSSregistration@himss.org. Substitutions are only allowed prior to Sunday, December 4, 2022. After this date, no substitutions are allowed.

Attendee Policy

You acknowledge that you are at least 18 years of age or older.

Photo/Film Release

Please be advised that photographs and video will be taken at the event. By registering and attending the event, you consent to the photographing and filming of you by HIMSS and its agents while at the event for program(s) and for promotional, marketing and/or editorial activities of HIMSS. HIMSS reserves the right, but is not obligated to, use the photographs and video from the event which may include your image and likeness.

You hereby waive all rights you may have to any claims for payment or other compensation in connection with any such uses by HIMSS and/or its agents. You also hereby waive any right to inspect or approve any photo or video taken by HIMSS and/or its agents.

Health and Safety

Considering ongoing concerns regarding COVID and communicable health risks more generally, HIMSS will implement health and safety protocols appropriate to the public health circumstances existing at the time of the Event.  HIMSS will exercise reasonable efforts to utilize protocols that will comply with or exceed any local public health requirements and be consistent with then-prevailing public health standards as issued by relevant public health entities.  Those protocols may include but are not limited to the following requirements: vaccination, proof of COVID status, self-monitoring, biometric screening, symptom checkers, contact tracing, use of personal protective equipment and social distancing, or other similar measures. Compliance with some or all of the protocols adopted by HIMSS may be mandatory for attendance and In-Person attendance and participation at the Event.  Additional information regarding the specific health and safety measures, and any necessary consents by you, will be communicated to Attendees prior to the first day of the Event.  

You specifically agree that you will not attend the Event if, within five days preceding the Event, you have:

  1. Tested positive or presumptively positive for COVID or other communicable disease or been identified as a potential carrier of COVID or other communicable disease; or
  2. Experienced any symptoms commonly associated with COVID or other communicable disease; or
  3. Been in direct contact with or the immediate vicinity of (collectively, the “Encounter”) any person who is either confirmed or suspected of being infected with COVID or other communicable disease within the last five days.

Further, you understand and agree that HIMSS may share any COVID-related information about you that HIMSS receives as part of such health and safety protocols with public health authorities or other regulatory agencies, as required under applicable laws.

Waiver of Liability

You assume all risks associated with, resulting from, or arising in connection with, attendance at and/or participation, in any capacity, in the Event or any Event-related activities, including, without limitation, all risks of theft, loss, harm, damage, illness or sickness (including those caused by known or unknown infectious or communicable disease such as COVID, H1N1 or other illness or sickness caused by bacteria, fungi, microorganisms or viruses), or injury to the person (including death) or property damage, whether caused by negligence, intentional act, accident, act of God, or otherwise, and whether occurring before, during or after the Event.
You further agree that neither HIMSS nor its agents, officers, directors, members, contractors or employees shall be liable for illness, sickness or injuries to the person (including death) or loss or damage to property resulting from, occurring at or arising out of the Event or Event-related activities, including but not limited to any education sessions presented in connection with the Event, or for any indirect, incidental, consequential, special, punitive or exemplary damages. You further release and discharge such persons and entities from, and covenant not to sue such persons and entities with respect to, any and all risks, injuries, losses, damages and liabilities described herein.

You further agree that the maximum liability of HIMSS to you arising from your registration, participation, and attendance at the Event shall be the return of your fees paid to HIMSS. 

Respect of HIMSS Intellectual Property and Other Attendees’ Contact Details

You agree not to capture or permit to be captured or copied, in any form or format, without the express written permission of HIMSS, any of the Event program content whether in audio, video or still image format.  To the extent you can access the some or all of the attendee roster through the Event app or website for networking or similar reasons, you agree not to use the roster contents for any commercial, marketing, promotional or political purposes.

Digital Access and Options for Sharing Your Registration Personal Data with Exhibitors, Sponsors and other Attendees 

By completing the registration process and acknowledging these Terms, you acknowledge and agree that HIMSS may be offering certain digital content via one or more digital platforms. Depending on the platform(s) HIMSS deploys, access to the digital content may be through a website or through an app you need to download on your device(s). HIMSS will provide login credentials to you (usually by email) prior to the first session.  This Registration Form contains options regarding whether to share your personal registration contact information with third parties as part of your participation in the Event. The HIMSS Privacy Policy provides additional information regarding how and when HIMSS will process, use and share your personal information and is incorporated herein by reference. 

By registering for this Event, you understand and acknowledge that HIMSS will use your registration contact information as set forth in the HIMSS Privacy Policy, which includes sharing for the purposes of organizing the Event, communicating with registrants about the Event, and other purposes that are necessary for HIMSS business. 

HIMSS will interpret certain actions you take in connection with the Event as a positive opt-in to sharing certain information you provide to Event sponsors or supporters. You can opt out of us sharing your information by not taking the actions in question. The information shared with the sponsor may include your contact information and may include details about what you viewed, asked, or accessed. Relevant actions include: 1) visiting a sponsor page; 2) attending a sponsored session; 3) accessing sponsored content and/or 4) communicating directly with third party within the Event or on the supporting platform.
   
The Event platform will support networking between attendees.  For the Event to function effectively, your participation may be visible on the platform and other attendees may be able to contact you via the platform.  If you choose to interact with another attendee, you opt-in for HIMSS to share your Event networking profile with that attendee.   

HIMSS will not share any of your personal registration contact information except as set forth in this document, our Privacy Policy, and in accordance with the preferences you have expressed here. 

Attendee Roster

Unless you have specifically opted out, by completing the registration process and acknowledging these Terms and Conditions, you are providing your consent for HIMSS to share your limited Contact Information on the HIMSS attendee roster (https://www.himss.org/himss-legal).

HIMSS Privacy Practices

The Healthcare Information and Management Systems Society, a U.S. not-for-profit corporation (collectively referred to as “HIMSS”, “we”, “us” or “our” in this privacy notice), is the controller of the personal data you provide for purposes of law. HIMSS includes its affiliated entities, which may also act as a controller or processor for purposes of law of such data. We collect and process personal information about our registrants, attendees, exhibitors, sponsors and Event delegates, and use this information in connection with organizing and hosting this event. We collect personal information such as your name, title, organization, position, industry, address, email address, phone number and other information you may choose to share with us. We share your information with third parties that help us manage the event, including service providers that assist us with event administration, such as badge management, hotels, transportation providers and other logistics vendors. To help prevent unauthorized access and maintain data security, our registration system has reasonable and appropriate electronic procedures in place to safeguard and secure the information collected online, and HIMSS has made efforts to securely store all information transmitted online.
